At Valley Bear Farms Glamping Resort, every guest reservation is important to us. We’re excited to host your mountain getaway and want your experience to be as smooth and relaxing as possible.

Below, you’ll find answers to some of our most common questions to help you prepare for your stay and make the most of your time at Valley Bear Farms.

Payment Schedule, Whats Included, Cancellations, Refunds:

  • PREPAY POLICY

    50% of the total amount is due at time of booking. The remaining amount will be collected 7 days before arrival.


    If the booking is made within 7 days of the reservation, 100% of the total amount will be collected at the time of booking.


    We don’t charge a pet fee!

  • RESCHEDULE, CANCELLATIONS AND REFUNDS

    Please note: If your reservation was made through a third-party platform, please refer to that provider’s specific cancellation policy.


    Direct Booking Policy:

    In the event that you must reschedule, we are happy to reschedule your reservation without a fee, provided there is availability for your desired dates. Please be aware that the unit price may vary based on the time of year.


    When booked directly with us, 100% of your initial payment is refundable if canceled at least 7 days prior to arrival.

  • WHATS INCLUDED WITH YOUR HOME OR CABIN

    At Valley Bear Farms, we like to keep things simple—one straightforward price per night with no hidden fees. Your nightly rate includes everything you need for a comfortable, relaxing stay in the mountains.


    • Cleaning Fees – Already included in your rate—no extra charges.

    • Resort Fees – Covered in your nightly rate, giving you full access to all on-site amenities.

    • All Bed Linens – Fresh, high-quality sheets and bedding for every bed.

    • Pillows & Blankets – Cozy and plentiful for restful mountain nights.

    • Toiletries – Complimentary essentials including soap, shampoo, and conditioner.

    • Coffee – Freshly roasted local coffee to start your mornings right.

    • Unlimited Firewood – Provided for cabins and homes with firepits or wood-burning fireplaces.

    • Pet-Friendly (Dogs Only) – Most of our accommodations are pet-friendly, and we charge no additional dog fees.

    (Please note: The Retreat House and Downtown Homes are not pet-friendly.)

  • RESORT INCLUDED AMMENITIES

    Resort amenities are open to registered guests from 7:00 AM to 9:00 PM, or until dusk, whichever comes first.


    If you arrive before your designated check-in time, feel free to start enjoying the resort amenities—just stop by the General Store to register when you arrive.


    Amenities are not open to the public without prior registration and payment of the applicable resort fees. (These fees are already included in all guest rentals.)


    Sports Equipment: Check the sports area shed for pickleball rackets and balls, bocce balls, volleyballs, and other sports accessories. Feel free to bring your own if you prefer!


    If you’d like to play disc golf, stop by the General Store to borrow discs.

    • Fire Pits & Firewood – Unlimited firewood is provided for all resort guests whose accommodations include a fire pit. (The Retreat House, and Downtown Homes features gas fireplaces and do not use firewood.)


    • Community Fire Pit – Join us at the community fire pit on Saturday evenings during peak season for complimentary s’mores and a chance to meet fellow guests.


    • Sauna – Our wood-burning sauna takes about 45 minutes to heat up. Call ahead, and our team will prepare it for you.


    • Pond – Enjoy our natural, spring-fed pond, which reaches up to 14 feet deep. Swimming is permitted at your own risk. No lifeguard on duty.


    • Trails – Explore over 5 miles of scenic hiking trails featuring a natural waterfall and running streams. Trail maps are available at the General Store.


    • Organic Garden – Guests are welcome to visit our organic garden. Stop by the General Store if you’d like to pick flowers or vegetables during your stay.


    • Fun Outdoor Games – Enjoy some friendly competition with our Pickleball, Volleyball, and Bocce Ball courts, or play a few rounds of Cornhole. It’s the perfect way to relax and have fun with family and friends.


    • Disc Golf – Take on our scenic 18 hole disc golf course, winding through the woods and open spaces of Valley Bear Farms—fun for beginners and seasoned players alike!


    • Play Park – Designed for kids of all ages, our Play Park is a fun spot for climbing, swinging, and exploring while parents relax nearby. It’s a great way for families to unwind and make memories together.


    • Dog Park – Valley Bear Farms is happy to welcome your four-legged family members! Our fenced dog park offers a safe and open space for pups to run, play, and make new friends.


    • General Store – Our General Store is stocked with a variety of local and essential items, including meats, fish, eggs and other ingredients for cooking, plus ready-to-eat options like sandwiches, salads, and yogurt parfaits. You’ll also find outdoor cooking supplies such as spices and condiments, along with everyday essentials like toothbrushes and Valley Bear merchandise.


    We also offer a selection of drinks, beer, and wine for your convenience.


    Our friendly staff is on-site daily from 9:00 AM to 5:00 PM. During Peak Season the staff is on site Fridays and Saturdays until 8pm, and happy to assist you with anything you need. Stop by to say hello—or to grab a fresh cup of coffee in the morning!

  • DAY VISITOR, AND FEES

    Resort fees are already included in all Valley Bear Farms rentals—there are no additional charges for registered guests staying with us. This fee helps cover access to all resort amenities, including our trails, pond, sauna, play park, outdoor games, and more.


    If you’d like to invite visitors during your stay, please note the following:


    All visitors must register in advance by contacting the Office between 9:00 AM and 5:00 PM.


    A $20 daily resort fee per visitor, per day applies.


    Children ages 9 and under stay free when accompanied by an adult and must be under adult supervision while enjoying the property.


    Guest Age Requirement: All guests under 18 years of age must be accompanied by an adult.


    The Valley Bear Farms team may limit the number of visitors to ensure comfort and safety for all guests.


    Visitors must follow all resort rules and regulations while on-site.


    No visitors are permitted during quiet hours (10:00 PM–7:00 AM).

  • DOWNTOWN BREVARD HOMES 121 AND 131

    Our Downtown Brevard Homes offer a completely different experience from Valley Bear Farms—they’re perfect for guests who want to be in the heart of it all. Located just steps from Main Street, the Lumber District, and Silversteen Park, these homes place you within easy walking distance of Brevard’s charming shops, restaurants, breweries, and local attractions.


    While these properties are not located on the Valley Bear Farms resort grounds, you’re still part of the Valley Bear family! As our guest, you’re invited to visit the resort for a complimentary day pass to enjoy the trails, pond, garden, and other amenities.


    The resort is about a 30-minute scenic drive from downtown Brevard. For the most beautiful route, we recommend heading toward Headwaters Outfitters, then turning right onto NC-215 to make your way up to Balsam Grove.


    Before you leave Brevard, be sure to enter Valley Bear Farms into your GPS—cell service can be spotty as you head up the mountain. If you need directions along the way, you can always stop at Valley Fuel, and the Balsam Grove General Store—they’re right on NC-215 and easy to spot!

    Nestled in the heart of the Blue Ridge Mountains, Valley Bear Farms offers a naturally inspiring setting for all kinds of special occasions. Whether you’re planning a family reunion, intimate wedding, corporate retreat, or wellness getaway, our resort provides the perfect balance of rustic charm and modern comfort.


    With scenic backdrops, cozy accommodations, and thoughtfully designed amenities, we create space for meaningful connection—whether that’s gathering around a fire pit, sharing a meal under the stars, or taking a quiet walk through the forest trails.


    Please note that we specialize in intimate gatherings and do not host events larger than 50 guests.

    You’ll receive detailed directions to your specific cabin in your confirmation email.


    We recommend entering the main address into your GPS before you start your trip—cell reception can be spotty as you drive through the mountains.


    If you’re coming from Brevard or US-64, the best route is to head toward Headwaters Outfitters and follow NC-215 up to Balsam Grove. It’s a stunning drive through the mountains and well worth the trip!


    If you happen to lose your way, stop by Valley Fuel / Balsam Grove General Store along NC-215—they’ll be happy to point you in the right direction. You can’t miss it!

  • FINDING MY CABIN

    We have signage throughout the property to help guide you to your cabin, and property maps are available for your convenience. You can view the map on our homepage, and a copy will also be sent with your check-in information. We recommend printing it to have on hand when you arrive.


    If you need assistance, feel free to stop by our on-site General Store, where our friendly staff will be happy to help.

    Store Hours: 9:00 AM – 5:00 PM daily

    During peak season (Fridays & Saturdays), we stay open until 8:00 PM.

  • CHECK IN

    Check-In: 4:00 PM


    Arrival Tip: Cell service can be limited upon arrival at the farm, so be sure to print or screenshot your check-in details, contact information, and Wi-Fi password before you head our way so you are able to get on wifi and connect with us if you need to. 


    The registered guest must be at least 18 years of age and present a valid government-issued photo ID at check-in. This guest is responsible for the reservation and must remain on-site for its duration. A credit card is required to stay on file for incidentals.


  • CONTACTLESS CHECK IN

    All units offer contactless check-in. Your access code will be sent to you via email and text prior to arrival. If you anticipate arriving after office hours (7 days a week, 9-5) and need assistance, please text or call 828.556.5960 ahead of time so we can make arrangements for you.

  • CHECK OUT

    Check out: 10:00 AM


    To make sure we can prepare for and honor incoming guests, all guests must vacate no later than 10:00am. 

  • EARLY CHECK IN OR LATE CHECKOUT

    Early check-in or late check-out is not guaranteed and depends on availability. If you’d like to request either, please contact us in advance—additional fees apply.


    We appreciate your understanding as we prepare each cabin and home with care, ensuring a smooth transition and the same warm welcome for our next guests as we’ve prepared for you.

  • PARKING

    Parking is available in our common parking areas. Guests staying in our houses and A-Frames have parking directly at their unit.


    Our glamping cabins are thoughtfully nestled in the woods for a peaceful experience. A designated loading and unloading area is available nearby, and carts are provided to help transport your belongings to your cabin.


    After unloading, please move your vehicle to the main parking area. Vehicles must remain in designated parking spaces and may not block roads or park on grass.

  • QUIET HOURS

    Quiet Hours: 10:00 PM – 7:00 AM


    The play area, pond and sauna close at 9:00 PM or dusk, whichever comes first. If you are arriving inside of our quiet hours, please respect your fellow glampers. No impact tools or other loud devices shall be used at this time. No loud music, excessive noise, or disorderly conduct will be tolerated. No visitors other then guests staying at the resort allowed during quiet hours.

  • WEATHER TIP

    Mountain weather can change quickly, from sunny and warm to cool and misty in just a few hours. We recommend packing a warm jacket for mornings and evenings, rain gear for surprise showers, and sunblock for those bright, sunny days during peak season.


    A little preparation goes a long way—so you can enjoy every kind of mountain moment in comfort.

  • ON SITE GENERAL STORE

    Our on-site General Store is stocked with everything you might need for a comfortable and delicious stay at Valley Bear Farms. Inside, you’ll find:


    Fresh meats, fish, eggs, and other ingredients for cooking at your cabin or over the campfire.


    Ready-to-eat options such as sandwiches, salads, and yogurt parfaits.


    Outdoor cooking essentials including spices, condiments, and s’mores supplies.


    Everyday necessities like toothbrushes, sunscreen, and Valley Bear merchandise.


    A selection of cold drinks, beer, and wine for your convenience.


    Our friendly team is always happy to help with directions, trail maps, or local tips—and we brew a fresh cup of coffee each morning, so feel free to stop in and say hello!

  • ADA ACCESSIBILITY

    Our two Mirror Cabins are wheelchair accessible, with handicap parking available near the Bathhouse for convenient access to both the cabins and restroom facilities.


    We also offer accessible bathrooms and showers in the Bathhouse, and our on-site General Store is wheelchair accessible, with handicap parking located directly beside the building. Additional handicap parking is available next to our Organic Garden, where an accessible path allows all guests to enjoy the natural beauty of the property.


    For more information or any special accessibility requests, please call us—we’re happy to help ensure your stay is as comfortable and enjoyable as possible.

  • MODERN LUXE BATHHOUSE

    Restroom and shower facilities are available on-site in our Modern Luxe Bathhouse.


    Please note that, per Board of Health regulations, animals are not permitted inside the restrooms.


    A dishwashing sink is located on the Bathhouse porch for your convenience.


    The laundry room is also located within the Bathhouse building, where you’ll find a filtered water filling station available for guest use.


  • LAUNDRY

    Laundry facilities are available for all guests in the Bathhouse building and accept credit cards, debit cards, and mobile tap payments for easy use.


    Guests staying in The Retreat House and The Bungalow enjoy complimentary in-unit laundry as part of their stay.

  • WATER FILLING STATION

    A filtered drinking water station—perfect for both sipping and refilling bottles—is located in the laundry room. Each glamping cabin is also stocked with reusable glass carafes for your convenience.



  • GUEST RESPONSIBILITY

    Registered guests are responsible for the full cost of any damage to the property or facilities caused by themselves, their pets, or their visitors. Charges will also apply for any items found missing from the rental unit after checkout.

  • TRASH, KEEP IT CLEAN

    Help us care for our beautiful property by following Leave No Trace principles. Please deposit all trash and recyclables in the designated bins located throughout the grounds—including the bins at your cabin.


    Cabin Trash: Kindly place all trash in bags before putting it into the bins. Our team empties them regularly to keep everything fresh and tidy.


    If needed, a trash dumpster is also available in the main parking area behind the fence.

  • EV CHARGING STATION

    EV charger level 2 is available in the Retreat House available for the Retreat House guests only.

  • PHOTOGRAPHY NOTICE, RELEASE

    By entering Valley Bear Farms property, guests acknowledge and consent that photography and videography may take place on-site for promotional, advertising, and other lawful purposes. Entry onto the premises constitutes permission and a perpetual, worldwide, royalty-free license for Valley Bear Farms to use, reproduce, and publish any images, videos, or likenesses of guests captured on the property, without further notice, approval, or compensation.


    Guests are welcome to bring their own photographers or take thier own photos for personal use (such as family photos or special occasions). We simply ask that all photography respects the privacy of other guests and maintains the peaceful atmosphere of the property.

  • DRONES

    Commercial drone use is prohibited. Personal drones may be permitted with prior authorization from Valley Bear Farms staff. All state and federal laws apply, and drone owners are responsible for complying with them.

  • CAMPING TENTS, RV, VAN CAMPING

    We’re sorry, but tent camping, van camping, and RV parking are not available at Valley Bear Farms. Our accommodations are limited to glamping cabins and luxury homes for a more comfortable mountain retreat experience.

  • HOUSE PARTIES AND OCCUPANCY

    House parties and large gatherings are strictly prohibited in all Valley Bear Farms rentals. Only registered guests listed on the reservation are permitted to occupy the home or cabin—no additional overnight guests or unregistered visitors are allowed.


    We ask that you treat our homes and community with care and respect. Please be mindful of noise levels and our neighbors so everyone can enjoy the peace and beauty of the mountains.

  • DOG PARK

    We have a fenced dog park where your furry friends can run, play, and make new friends off-leash.


    Hours: Sunrise to sunset


    Supervision: Owners must stay with and monitor their dogs at all times


    Leash Rule: Leashes required entering/exiting; off-leash play allowed only inside the fenced area


    Dog Requirements: Healthy, non-aggressive, vaccinated, and wearing ID tags


    Limit: Two dogs per handler


    Cleanliness: Please clean up after your dog—waste stations are provided


    Safety: Use at your own risk; owners are responsible for their dogs’ behavior and any damages

  • PET FEES, DOGS ONLY

    We love welcoming your furry friends—and there’s no pet fees!


    Up to two dogs are allowed in all cabins, yurts, A-Frames, and the Bungalow. Please note that our downtown houses (121 & 131) and the Retreat House are pet-free zones.


    Pet waste stations are conveniently located around the resort—thank you for cleaning up after your pet.


    To ensure the comfort and safety of all guests, we may request proof of current flea treatment and vaccinations. Please manage any excessive barking or disruptive behavior, as owners may be asked to remove aggressive or uncontrolled pets from the property.


    For everyone’s safety, dogs must remain on a leash at all times in accordance with North Carolina leash laws. If you need to leave your dog in your unit, please ensure they are safely kenneled or crated.


    A $250 cleaning fee will be charged if a pet is found in a non–pet-friendly unit.


    Please note: Dogs are not permitted inside the bathhouse.

  • MOUNTAIN BIKES AT RESORT

    Mountain bikes are welcome on our five miles of scenic trails at Valley Bear Farms. It’s a beautiful way to explore the property—just remember to ride at your own risk and be courteous to guests who are walking or hiking.


    If you’re staying at Valley Bear Farms, trail access for biking is included in your resort fees.


    If you’re not staying with us, you can still enjoy the trails by purchasing a Resort day pass for $20 per person, per day.

  • FOOD AND DINING

    Our General Store offers a variety of great food options—whether you’re cooking, grilling, or simply craving a sandwich, salad, snack, or drink. We also carry a selection of beer and wine for your convenience.


    At our on site General Store you’ll find a range of restaurant-quality meats and seafood, including premium Black Angus beef products, perfect for grilling or preparing a delicious meal at your cabin.


    A local gas station convenience store is located nearby for quick essentials, while major grocery stores can be found in town, about a 25–30 minute drive from the resort.


    20 minutes away, you’ll find Headwaters Outfitters, which often hosts a food truck and features The Forks of the River Taproom, a relaxed spot to enjoy a local craft beer after a day of adventure.


    For dining out, you’ll discover wonderful restaurants within 25–45 minutes in Brevard, Lake Toxaway, and Cashiers.

  • OUTDOOR COOKING

    Fire cooking is permitted in the designated fire pits. Each cabin includes a personal charcoal grill, and all houses feature gas grills for guest use. We also have an additional community gas grill behind the bath house for guests to use. 


    Please use all cooking equipment responsibly and never leave fires or grills unattended.

  • UNLIMITED FIREWOOD

    Unlimited firewood is provided for all guests whose accommodations include a firepit—enjoy as much as you’d like during your stay at Valley Bear Farms.

  • COMPLIMENTARY WIFI

    Complimentary Wi-Fi is available in all cabins, homes, and common areas for guest use.

    Lake Toxaway – 20 minutes

    A tranquil mountain lake surrounded by lush forest and scenic overlooks, great for dining or exploring.


    Art Loeb & Black Balsam Knob Trailhead – 28 minutes

    Hike to some of the most iconic 360° mountain views in the region—rolling balds, wildflowers, and endless sky.


    Looking Glass Falls – 30 minutes

    One of North Carolina’s most photographed waterfalls, easily accessible and stunning year-round.


    Sliding Rock – 35 minutes

    A classic mountain adventure! This natural waterslide in Pisgah National Forest is fun for kids and adults alike.


    Downtown Brevard – 25–30 minutes

    The “Land of Waterfalls,” filled with art galleries, shops, dining, and live music.


    Cashiers – 40 minutes

    A cozy mountain town with upscale shops, local markets, and beautiful hiking trails. Don’t miss nearby Panthertown Valley—known as the “Yosemite of the East.”


    Waynesville – 1 hour

    A charming mountain town full of boutiques, restaurants, and local culture—perfect for a leisurely day trip.


    Asheville – 1 hour

    A vibrant city known for its thriving arts scene, farm-to-table dining, and the historic Biltmore Estate.


    Greenville, SC – 1.5 hours

  • PERSONAL PROPERTY

    Guests are responsible for securing their personal belongings, including but not limited to vehicles, and all personal property.


    Valley Bear Farms, its owners, agents, and employees are not responsible or liable for theft, loss, or damage of any kind, including those caused by acts of nature, fire, flood, wind, lightning, accidents, or vandalism.

  • CHILDREN

    Children are welcome at Valley Bear Farms! Children under 12 should be directly supervised by an adult at all times. Parents/guardians are responsible for their children’s safety.

  • CAMPFIRES

    Controlled campfires are permitted in designated fire pits only. Fires must be attended at all times and fully extinguished before leaving the area.


    Please burn only firewood (provided on-site) or charcoal—do not cut live trees or burn trash.

  • FIREWORKS

    Fireworks are prohibited on the Valley Bear Farms property.

  • ALCOHOLIC BEVERAGES

    We sell a selection of beer and wine in the General Store for guests to enjoy responsibly during their stay.


    All state and federal laws apply. Alcohol consumption is restricted to guests 21 years of age or older.


    Excessively loud, combative, belligerent, or disruptive behavior will not be tolerated and may result in immediate removal from the resort without refund. Please drink responsibly and be considerate of fellow guests.


    For safety reasons, alcohol is not permitted in the sauna or hot tubs.

  • WEAPONS

    For the safety and comfort of all guests, the open carry or display of weapons—including firearms, knives, or similar items—are not permitted anywhere on the property.

  • HUNTING

    Hunting and animal trapping are strictly prohibited on all Valley Bear Farms properties.

  • WILDLIFE

    Part of the magic of Valley Bear Farms is sharing space with the beautiful wildlife that calls these mountains home. You may see deer, wild turkey, rabbits, birds, and—on occasion—black bears, snakes, and other native animals. To keep both our guests and the wildlife safe, please follow these simple guidelines:


    Never feed wildlife. Human food can be harmful to animals and encourages them to approach populated areas.


    Store food securely. Keep all food, trash, and scented items (like coolers, pet food, and toiletries) inside your cabin or vehicle when not in use.


    Dispose of trash properly. Use the designated bins at your cabin or the dumpster in the main parking area.


    Keep a safe distance. Enjoy wildlife from afar—never attempt to approach, touch, or photograph animals up close.


    Be aware of snakes. Snakes are a natural part of our ecosystem and help control pests. Most are harmless, but always watch where you step or place your hands, especially around rocks, logs, or tall grass.


    Supervise children and pets. Keep pets leashed and children nearby when exploring the property.


    Stay aware on trails. Make gentle noise while hiking to avoid surprising animals, and never leave marked trails.


    Wildlife sightings are part of the unique Valley Bear experience—by respecting these natural boundaries, we help protect the animals and preserve the peaceful mountain environment for everyone to enjoy.

  • SMOKING

    Smoking, vaping, and all forms of tobacco use are strictly prohibited inside all units at Valley Bear Farms.


    A cleaning fee of $200 per cabin or $500 per house will be charged to the credit card on file if evidence of smoking is found inside a rental unit.

    Valley Bear is a family-friendly resort. To ensure the comfort of all guests, we kindly ask that open or public nudity is avoided at all times while on the property.

  • POND AND SAUNA

    Pond & Sauna Hours:

    Open daily from 7:00 AM to 9:00 PM.


    Please note there is no lifeguard on duty—swimming in the pond is at your own risk.


    Sauna rules are posted inside and must be followed at all times. Pets and alcohol are not permitted in the Sauna.
